An Item Request is a request sent internally within a company to obtain purchased goods and services, including stock. The request is a document that tells the purchasing department or manager exactly what items and services are requested, the quantity, source, and associated costs.

Accoxi provides Item Request system to the users and it enables them to send a request for the transfer of goods from Head Office to Branch or Vice versa or between branches.

How to create Item Request?

Item request is a function that capitulates users to send requests for item transfer between the Head office and branches of the organization. Item request is a document that tells the purchasing department or manager exactly what items and services are requested, the quantity, source, and associated costs. This video tutorial explains the working of item request Module in Accoxi.

Key Features;-

  • It shows the details of item request of the products along with request mode, date, quantity, amount etc.
  • User can easily identify the current status of the request. It shows the status as pending, completed, rejected or deleted.
  • It shows the pending quantity of each stock request and the amount details also.
  • User can easily identify the deleted item request, deleted requests are indicates with color format.

Click on the Inventory module and select Item Request option.

When click on the option Item Request, then it opens to Item request Search page.

It consist of various menus and it shows the details of Item request of the products along with request mode, date, quantity, amount etc.

       Fields

                                Description

Date

The date column shows the date of item request. It is the date when the item request created.

Reference No

Source reference number helps the user to identify transfer in records and it will be the continuation of the previous transfer form.

Sender

This column shows the sender of the item request.

Receiver

This column shows the receiver of the item request.

Request Mode

This column shows the request mode of the particular item request. It may be Sent or Received.

Total Quantity

It shows the total quantity of the item request.

Amount

This column shows the total amount of particular item request. 

Status

It shows the actual status of the Item request. It may be pending, completed, rejected or deleted.

When the user clicks on the Item request, it opens to the Item Request Search page. It consists of various menus and details of all the created requests.

 

       Fields

1. Filter

The user can filter the Item request details in two ways. Either can directly enter the request name into the search bar near the filter option or by clicking the filter menu. By clicking the filter option, the user can filter the data by date, request mode, source or by status. By clicking on the status option, need to select the status of the request. By clicking the by-date option, need to enter the starting date along with the end date of the item request, and then the data appears on the basis of the date entered. Users can select a request mode or source in the filter tab and the data will appear on the basis of the filter applied.      

2. Refresh

If the latest data is not displayed, click on the refresh icon on the top right corner of the page to fetch the new data.                     

3.+New Item Request

The user can create a new item request by clicking on the menu, +New Item Request. While clicking on the menu, it opens to a new form of item request and the user needs to enter the details to create new request.

4. Export

The Item request list can be exported to Excel format. Click on the Export button at the top right corner near the +New button. Select the file location and click on save.               

5. View

This menu option helps the user to view the created item request form by clicking the view sign. While clicking on the view icon, it opens to the Item request view page.

6. Settings

This menu includes two options, Edit and Delete. The edit option will help the user to edit the item request form before its verification. The edit option will visible only before the stock transfer verification. After verifying the transfer, the user can’t edit the form and the edit menu will be disabled.

The delete option enables the user to delete the created item request form.       

7. Deleted

Deleted item requests are displayed in color format. Red color indicates the deleted requests.

8.Pagination control

It controls the page navigation and the page size. Page size can be set to 10, 20, 50 or 100. And by giving page number in the box and clicking on Go button. It jumps to the said page.

 

9.Exit

Below the pagination control, there is an exit button. If the user want to exit from the Item request search page click on exit button.

Steps to Create New Item Request

 

  • Click on the Inventory module and select the option Item Request.
  • Item Request search page will appear on the screen, then click on the +New Item request menu on the top right side of the page.
  • After selecting the option, a new form of the Item Request page will appear on the screen. Users need to select the date, destination and description regarding the item request.
  • Then enter the product details that want to transfer along with the quantity.
  • After entering the details, click on the Save option to create an item request.

Reference number

Reference number helps the user to identify requests in records. It will automatically appear on the request form and the user can’t edit the reference number, as it will be the continuation of the previous item request.

Description

In this field, the user needs to enter an additional explanation regarding the item request.

Date

The date will automatically appear in the date field. Users can modify the date as per need.

Destination

The user needs to enter the destination to which the request is being sent. The destination is the place where the stock is coming or being sent.

Product

In this field, the user can enter the products for transfer.

Batch

When the user enters the product name, They can choose the required batch which will appear on the product.

Quantity

In this field, the user needs to enter the required quantity of requests to transfer the product.

Rate

The rate of the product will automatically appear on the field after selecting the product. The user can’t edit the rate on the field.

Amount

The amount of the product will automatically appear on the field after selecting the product for creating a stock transfer. The user can’t edit the amount of the product as it has already been fixed and the field was blocked.

Delete  

This menu helps the user to delete unwanted items after entering the products on the field.

Save

Click on the Save menu to save the details entered and to create an item request.

Clear

The clear menu is for clearing or removing the details and for canceling the page.

Exit

The exit menu is used for go to the previous page without saving the stock request form.

                             Description

Edit

This menu helps the user to edit the item request form. By clicking on the menu, it opens the page of item requests and the user can edit the stock transfer order. After editing the form, click on the update menu to save the changes.      

Export to PDF

This menu enables the user to export the Item request form to PDF format and can save in the system.

                                                                                 

Print

If the user wants to take the printout of the item request form, it can be done by using the menu Print on the top right side of the item request.

When the user clicks on the print menu, a new tab will appear on the screen and it contains the details regarding the print. Users can set the page range, page height, and width and can enter the required number of copies here. By clicking on the Print button, the user gets the printout of the stock transfer form.

More Options

This menu includes a delete option for item Requests. Users can delete the item request by clicking on the cancel option.
