BANK - TRANSFER IN ACCOXI

In Acooxi, users have the capability to record various bank transactions, including banking transfers, deposits, and withdrawals. This functionality enhances the user's ability to manage banking and business activities efficiently and expeditiously.

Key features of Bank Transfer include:

  1. Comprehensive Recording:
    • Facilitates the recording of various banking transactions.
  2. Instrument Type Selection:
    • Allows users to choose instrument types such as cash, cheque, DD, or bank transfer.
  3. Saving Options:
    • Enables users to save the bank transfer form as a draft for further modifications or as a voucher for finalization.

Bank Transfer

To initiate a bank transfer in Accoxi, follow these steps:

  • Open the "Accounts" module.
  • Click on "Banking."
  • Select the "Bank Transfer" option.

By selecting the "Bank Transfer" option, a new transfer form will open, allowing you to input the necessary details for the bank transfer transaction.

Field

Description

1. Filter

There are two methods for filtering transactions: either by directly entering the transaction type into the search bar near the filter option or by clicking the filter dropdown.

 

Users have the ability to filter data by transaction type, ledger name, reference number, cancellation status, or date. When filtering by date, users need to enter the starting date and the end date of the transactions. Transaction types available for filtering include sales invoices, purchase invoices, bills, debit notes, credit notes, and more.

2. Refresh

If the most recent data is not displayed, you can click on the refresh icon located at the top left corner of the page. This action will fetch and update the page with the latest data, ensuring that you have the most recent information available for viewing.

3. +New Bank Transfer

The "+New Bank Transfer" feature is designed for users to initiate bank transfers, leading them to the Bank Transfer Creation Window where they can input the necessary details for the transaction.

4. Export

To export the transfer list to Excel format, click on the "Export" button located at the top right corner, near the '+New Bank Transfer' button. Choose the file location and click 'Save' to store the file in Excel format. This functionality allows users to conveniently export the transfer data for further analysis or record-keeping.

5. Ledger View

The transfers made can be viewed in ledger format, presenting the ledger accounts associated with the transaction. This ledger format provides a detailed display of the accounts involved in the transfer, offering a comprehensive overview of the financial aspects of the transaction.

6. View

The "View" menu enables the user to access and view the transfer contra invoice that has already been created. This menu likely provides options or functionality to review and examine details of the specific transfer contra invoice.

7. More Options

This menu includes an edit function that allows the user to modify the created form. By selecting the edit option, the invoice form will appear on the screen, enabling users to make necessary adjustments to the content.

8. Cancelled Transfer Invoice

Cancelled bank transfer invoices are displayed in red, providing a visual indication to easily distinguish them from active or completed transfers. This color-coding helps users quickly identify and differentiate transactions based on their cancellation status.

9. Pagination Control

This feature manages page navigation and size settings. Users can customize the page size to 10, 20, 50, or 100 entries. To navigate to a specific page, input the page number in the designated box and click the "Go" button, facilitating quick access to the desired page.

New Bank Transfer Creation

Ref Number

The reference number serves as a unique identifier for the transaction, automatically generated to add a distinct number to the transaction. The user cannot edit this reference number, ensuring its integrity and uniqueness in the system.

Instrument Type

Users are required to select an instrument type, which may include options like cash, bank transfer, or cheque. For instrument types other than cash, users need to enter the instrument number, instrument date, and bank name. This ensures comprehensive recording of transaction details, especially for non-cash payments.

Date

The date will automatically populate the date field, typically reflecting the current date. If the user wishes to change the date, they can do so by clicking on the date menu and selecting the desired date from the available options. This feature provides flexibility for users to input the specific date they require for the transaction.

Party Name

The user can input a party name in this field. This allows for the association of a specific party or entity with the bank transfer transaction.

Narration

In this section, the user can provide additional explanations or comments regarding the bank transfer. This allows for the inclusion of supplementary information or details that may be relevant to the transaction.

From Bank Account

Users can choose a bank account in this field, and the amount will be transferred from the selected bank. If the user wishes to create a new bank with a specific name, this can be achieved on this page. Users can add or create a new bank name by clicking the "+" menu on the right side of the bank account option. This functionality offers flexibility in managing and adding new banks directly within the system.

Bank Name

If the user selects the instrument type as "Cash," there is no need to enter the bank name in this field. However, for instrument types other than cash, users are required to enter the bank name details. This conditional logic ensures that bank name information is provided only when necessary based on the chosen instrument type, streamlining the data entry process.

Instrument Number

For every instrument type in banking transfer, excluding cash transfer, the user is required to enter the instrument number. This step ensures that a specific identifier is associated with the transaction, especially when using instrument types other than cash.

Instrument Date

In the case of every instrument type transfer, excluding cash, the user needs to enter the instrument date. This ensures that the transaction is associated with a specific date, especially when using instrument types other than cash.

To Account

Users can choose the destination bank account in this field, and the amount will be transferred to the selected bank. By clicking on the field, a list of created bank accounts will appear, and the user can then select the required one. This functionality simplifies the process of specifying the destination bank account for the transfer.

Narration

In this section, the user can add additional remarks or comments regarding the bank transfer. This allows for the inclusion of supplementary information or specific details related to the transaction.

Amount

The user needs to input the desired amount they want to transfer into this field. This amount represents the funds that will be transferred in the bank transaction.

Delete  

This menu option assists the user in deleting unnecessary account details entered in the row. It provides a means to remove unwanted or incorrect information from the transaction entry.

Save As Draft

After entering the transfer details, the user has the option to save the bank transfer form as a draft. If the user selects the draft format, they can later access it from the accounts transactions. This allows the user to review, verify, or edit the form before finalizing and saving it as a voucher, providing a flexible workflow for transaction management.

Save 

Users have the ability to save the created bank transfer form as a voucher by selecting the "Save As Voucher" option from the menu. This action finalizes and officially records the bank transfer transaction in the system.

Clear

The "Clear" menu is designed to clear or remove all the data that has been entered by the user. This function provides a quick way to reset the form or remove any information that may have been inputted during the transaction entry.

Exit

The "Exit" menu is used to navigate to the previous page without saving the bank transfer form. This option allows users to leave the form without committing any changes, providing an exit without saving functionality.

After saving the banking transfer form, the Accounts Search page will be displayed on the screen. The saved form will appear in the Accounts Search, allowing the user to view or edit the created transfer form. This feature provides easy access to the recorded transaction for review or modification as needed.

OPTIONS AVAILABLE IN THE HISTORY WINDOW:

 

"Comments and History" display all the edits and alterations made to the transfer. The date of changes is included, and users can input comments regarding the transfers, providing additional context or notes about the transaction history.

4. View journal

This menu showcases the journal view of the transaction. The journal view displays both the debit and credit aspects of the amount, offering a comprehensive overview of the financial entries associated with the bank transfer transaction.

5. Edit

The "Edit" menu facilitates the user in editing or correcting the details that have been entered in the transfer. This functionality allows users to update and modify information as needed, ensuring the accuracy of the recorded transfer details.

6. Export To PDF

If the user wishes to convert the transfer to PDF format, they can utilize the "Export to PDF" option. After clicking on "Export to PDF," a "Save As" directory option will appear, allowing the user to choose the location for saving the PDF file. This functionality facilitates the generation of a PDF document containing the transfer details for further use or sharing.

7. Print

The "Print" menu assists the user in printing the bank transfer if required. Clicking the "Print" button will redirect to print options, allowing the user to select the printer and specify details such as the number of copies to be printed. This feature streamlines the process of generating a hard copy of the bank transfer information.

8. More  Features

In the "More Features" option, users can cancel the transfer. Clicking "Cancel" will prompt a validation message to pop up. Users can then choose to proceed by clicking "YES" to cancel the transfer or click "NO" to cancel and close the option without confirming the cancellation. This feature provides a step-by-step process for users to confirm their decision to cancel a bank transfer transaction.

9. Pagination Control
